Business VoIP and 3CX phone systems in Cape Town
Keep your existing number, cut your monthly call spend, and run your whole team’s phones from one system — whether they sit at a desk, walk a warehouse floor, or work from home.
Most Cape Town businesses we visit are still paying for a phone system that was designed around a building. Extensions are tied to desks, adding a line means a technician call-out, and nobody can answer the office number away from the office. VoIP removes all of that. Your phone system lives in software, your numbers follow your people, and adding a new staff member takes about ten minutes.
We install and support 3CX, one of the most widely used business phone platforms in South Africa, alongside hosted PBX services from local providers. Which one suits you depends on how many extensions you need, whether you want the system on your own server or in the cloud, and how much call recording and reporting you actually use. We will tell you honestly which way to go rather than pushing the option with the biggest margin.
Porting your existing landline number is almost always possible, including Telkom geographic numbers in the 021 range. We handle the paperwork and the cutover so the line does not go dead in the middle of a working day.
Scope
What a VoIP installation includes
- Site and bandwidth check — we confirm your internet connection can carry the call volume before quoting.
- Number porting from Telkom or your current provider, with a scheduled cutover.
- Handset supply and provisioning — Yealink desk phones, DECT cordless for warehouses and workshops, headsets for call-heavy teams.
- Call flow build — auto-attendant menus, ring groups, after-hours routing, voicemail to email.
- Mobile and desktop apps so staff can answer the office number from anywhere.
- QoS configuration on your router and switch so voice traffic gets priority over downloads.
- On-site training for reception and anyone who manages the call flow.
- Ongoing support — changes to menus, users and routing are part of the monthly fee, not billed hourly.

How the job runs
What happens, in order
Site survey
We check your internet line, network switch and cabling, count the extensions you need, and look at how calls actually move through your business today.
Quote and number port
You get a written quote with the monthly cost per extension and any once-off charges. Once approved, we start the number port — this typically takes two to three weeks with South African carriers, so we begin early.
Build and stage
The PBX is configured, handsets are provisioned and labelled, and call flows are built and tested before anything arrives on site.
Cutover
We install on site, usually outside business hours, and stay until every extension is tested. The old system stays live until the new one is confirmed working.
Handover and support
Reception gets walked through the console, managers get the reporting view, and you get a single number to call when anything needs changing.
Worth knowing
Cordless coverage for warehouses and workshops
Desk phones do not help a storeman or a workshop foreman. For those environments we deploy Yealink DECT — a W70B base station paired with rugged W73H handsets that roam across the building. A single base covers a typical Cape Town light-industrial unit, and additional repeaters extend coverage across larger floor areas or between buildings on the same property.
This matters more than most people expect. When the workshop can answer the main line, calls stop being taken as messages and passed on later. That is usually where the customer-service complaints were coming from.
Common questions
Before you call
Can I keep my existing 021 number?
Yes. In almost all cases your existing Telkom or carrier number can be ported to the new system. We handle the porting paperwork. Allow two to three weeks for the port to complete, and keep the old line active until the port confirms.
What happens to my phones if the internet goes down?
Calls can be set to fail over automatically to mobile numbers, so the business still answers. We usually pair a VoIP install with an LTE or 5G backup connection, which keeps both the phones and the office online during a fibre outage.
Do I have to buy the handsets upfront?
No. We offer handsets on a monthly rental included in the per-extension fee, which keeps the once-off cost down. Buying them outright works out cheaper over three years if you have the cash available — we will show you both figures.
How much does business VoIP cost in Cape Town?
Pricing depends on extension count, handset choice and whether you want call recording and reporting. As a guide, most small offices land between R120 and R200 per extension per month including the handset, plus call rates that are typically well below Telkom landline pricing.
Can staff working from home use the same system?
Yes. Remote staff use the 3CX app on a laptop or phone and appear as a normal extension. Internal calls between the office and home users are free.
